14 WWW. UNWLA.ORG “НАШЕ ЖИТТЯ”, ГРУДЕНЬ 2013 3. Delegates who will attend the Convention should be selected. 4. Financial matters must be settled. The first two items are the foundation of our organization. Reports about the work of our organization to the World Federation of Ukrain i- an Women's Organizations, Ukrainian World Congress, and the UNWLA Convention delegates depend on these two points. If the branches do not send complete rep orts or an y reports at all, it is impossible to paint a true picture of the power and strength of our organization. We do ourselves a great disservice. In this respect, the Board helps us by sending questionnaires to every chairpe r- son. Here we find the basic informa tion about each branch, such as the year of its establishment, its number of members, chairperson activities, and the financial position of the branch. Accurate, complete and correct answers in each category depend on you. Based on these questionnaires, th e Reporting Committee will complete a review of the organization’s branches. Reports play a si g- nificant role in the preparation of the Convention. During the Convention itself, delegates will have the opportunity to provide additional information about the ir branches or to participate in any di s- cussion. Your members worked faithfully on var i- ous projects of the branch and would like to see their achievements made public. Who will represent the branch is a matter of great importance. Responsibilities of delegates: Before the Convention, familiarize yourselves with the views of the branch members regar d- ing resolutions, amendments to the Constit u- tion, and elections presented to the Conve n- tion. Attend all plenary sessions of the Convention. Coordinate with other branch delegates as to the presence of delegates in all forums or se m- inars during the Convention, to gather as much information as possible to pass on to all me m- bers of the branch upon their return. After the Convention, make a full report to the br anch about the Convention and its results. After the Convention, make a presentation to the branch on the information gathered at the various forums and seminars. Delegates should be familiar with the UNWLA bylaws and be active participants in the proje cts and activities of their branch and co m- munity. Delegates must also be prepared to take a leadership role in their branch. Many branches do not send the total number of delegates allotted to them, due to f i- nances. For this reason, the choice of delegates representing your branch becomes even more i m- portant. Financial considerations Planning and preparing for a convention encompasses not only the recognition of the work done by the branches. It also covers the organiz a- tion of the Convention itself. Take, for example, the financial side of the planning. Annual dues of Regional Councils and Branches paid in full and on time help prepare all things that need to be prepaid. Also, payments for delegates sent on time can help order the rooms and meals in a d- vanc e as well as guarantee the minimum count of rooms. The registration committee will be able to coordinate the placement of delegates in the rooms. Reporting at the last minute creates much confusion and then complaints from the del e- gates. Let us do our par t to help prepare this co n- vention in a timely fashion and avoid future co m- plaints. The success of the Convention Book d e- pends on help from the branches. The expenses of publishing this book are primarily covered by greetings , announcements , and advertiseme ts. Throughout the history of UNWLA Conventions, their acquisition has depended on the dedication of the branches and their members. Branch r e- ports and greetings accompanied by a branch photo go without saying. But Branches and their members should also be enthusiastic and diligent in making appeals to businesses and community organizations to include their greetings and a n- nouncements in the Convention Book. A form to help you in this appeal was sent from the UNWLA office in September . Preparing for the XXX Convention of the UNWLA is the responsibility not only of the branches, but also of each and every member of the UNWLA. What kind of a member am I? Do you take an active part To help the work along, Or are you satisfied to be The kind that just belong? Lidia Bilous Chair of the Convention Committee for Public Relations
