The Minutes need the exact wording of each proposal and whether it was adopted or rejected. The approval of minutes isn’t what makes an adopted motion valid; it is simply a record of what happened at the meeting. Keep in mind that you are writing to ensure that someone in the future can understand what business was accomplished and the person reading the Minutes will not care if Ms. X or Ms. Z brought the cake. Check to make certain that all items on the Agenda are covered. Try to write the Minutes as soon as possible after the meeting. What Minutes Should Include Type of Meeting Name of Organization Date & Time Location Whether the chair and secretary were present and/or the names of any substitutes Whether the prior meeting minutes were read and approved All main motions Disposition of the motions Any motions to Suspend the Rules All Points of Order or Appeals Names of any individuals proposing motions The exact vote What Not to Include in Minutes : Debates or discussion on motions Names of seconders Remarks of guest speakers Motions that were withdrawn How specific members voted (unless a roll call is required) Your personal opinions on anything said or done Annual or Convention Minutes Common practice is that either the Executive Board or the Minutes Approval Committee is authorized to approve the Minutes shortly after the Meeting or the Convention. Although the entire organization can revisit the minutes at any time, this process allows the organization to have official minutes without waiting 12 months or more. Waiting a year or more to resolve issues related to the Minutes is not realistic. In sessions lasting longer than one day, such as conventions, the minutes of the preceding day’s meetings should be read and approved by the convention at the beginning of each day’s business. In the subject line of your email, please provide title or subject of the article you are submitting for publication and designate whether the article is in English or Ukrainian. Include author’s name. Also include author’s name and telephone number and best time to call.
